II. Principles of Data Processing

1.    Scope
We process your personal data exclusively for the purposes necessary for the operation and secure provision of our website and for the use of our services and offers. Beyond this, processing only takes place if you have expressly given your consent. We exclude any further use of your data for other purposes without your consent. 

2.    The legal basis for the processing of personal data may be:

  • Consent (Art. 6 (1)(a) GDPR): If you give us your consent, we may process your data for the specified purpose. 
  • Contract/ contract initiation (Art. 6(1)(b) DSGVO): We process your data if this is necessary for the performance of a contract or for the implementation of pre-contractual measures. 
  • Legal obligation (Art. 6 (1) (c) GDPR): Processing may be necessary to comply with legal requirements.
  • Legitimate interest (Art. 6 (1) (f) GDPR): We also process data if this is necessary to safeguard legitimate interests and your rights do not outweigh these interests.

We take appropriate technical and organizational measures to ensure a level of protection appropriate to the risk and to protect personal data from destruction, loss, alteration, or unauthorized disclosure and access. The effectiveness of these measures is regularly reviewed, assessed, and evaluated.

III. Provision of the website

Scope and purpose

Every time you visit our website, our system automatically collects certain technical information from your device.

This includes:

  • Browser type and version,
  • Operating system used,
  • Internet service provider,
  • Date and time of access,
  • Previously visited website (referrer URL).
  • IP address

When you visit our website, anonymous server log files are created. We use these exclusively for statistical purposes, such as to determine the number of visits and for error analysis. Any further evaluation of your usage data will only take place with your express consent.

Processing is necessary to ensure the functionality and delivery of the website. In addition, we use the data to optimize content and to ensure the security of our IT systems.

Legal basis

HOOD has a legitimate interest (Art. 6 (1) (f) GDPR) in the error-free provision of services, troubleshooting performance issues, customer support, and traceability.

Transfer and recipients of personal data

The website is hosted by a contractor commissioned by HOOD in Germany, bgm websolutions GmbH & Co. KG, in accordance with Art. 28 (1) GDPR.

No data is transferred to third countries.

Storage period

The data will be deleted as soon as it is no longer required for the aforementioned purposes. In the case of the provision of the website, this is usually after the end of the session.

Objection/Removal

The collection and storage of data in log files is essential for the operation of the website. Therefore, there is no possibility for the user to object.


IV. Use of cookies

Scope and purpose

Our website uses cookies. Cookies are text files that are stored in the Internet browser or by the Internet browser on the user's computer system. When a user accesses a website, a cookie may be stored on the user's operating system.

Necessary cookies help to make a website usable by enabling basic functions such as page navigation, access to secure areas of the website, error analysis, and user input, or by ensuring the security of the application. The website cannot function properly without these cookies.

We also use optional cookies for analytical evaluations or marketing measures, and we also use external service providers for this purpose.

V. Newsletter

Scope and purpose

On our website, you have the option of subscribing to a free newsletter. When you register, the following data is transmitted to us from the input mask:

  • Email address (mandatory field)
  • Salutation, title, and name (optional)
  • Area of interest (optional)
  • Date and time of registration

We use the Mailchimp service from The Rocket Science Group to send out the newsletter. This allows us to contact subscribers directly and analyze usage behavior in order to optimize our offering.

In addition, Mailchimp collects further data through cookies and tracking methods, such as:

  • IP address, device information, operating system, browser ID
  • Information about the application used to open emails
  • Usage data (date/time of opening, click behavior, opened emails/web pages)
  • Performance data (e.g., delivery statistics)

Mailchimp may also collect data from other sources (e.g., social media, third-party providers). We have no influence over this.

Your data is processed on the basis of your consent in accordance with Art. 6 (1) (a) GDPR.

In addition, certain data is processed by Mailchimp on the basis of legitimate interests (Art. 6 (1) (f) GDPR), in particular for system security, compliance with terms of use, and prevention of misuse.

Transfer and recipients of personal data

The recipient of your data is the Mailchimp service provided by The Rocket Science Group, LLC, 675 Ponce de Leon Ave NE Suite 5000, Atlanta, GA 30308 USA, acting as a processor on our behalf. This includes: email address, first name (if applicable), last name, and phone number.

Mailchimp relies on EU Standard Contractual Clauses (SCCs) to ensure international data transfers. Further information can be found here: https://mailchimp.com/legal/data-processing-addendum/

Storage period

Your personal data will be processed for as long as valid consent is available.

After revoking your consent or terminating the contractual relationship with Mailchimp, the data will be deleted unless statutory retention obligations prevent this.

Objection/Removal

You can revoke your consent to receive the newsletter at any time:

  • via the unsubscribe link in every newsletter email
  • via the contact options provided on our website

The revocation does not affect the legality of the processing carried out up to the point of revocation.

VI. Event registration

Scope and purpose

On our website, we offer users the opportunity to register by providing personal data when registering for a conference or training course.

Personal data is processed for the purpose of providing our services, in particular for the performance of our contracts or pre-contractual measures with you and the execution of your orders, as well as for customer service purposes.

The following data is collected during the registration process:

  • Title and name of the user
  • Email address of the user
  • Telephone number of the user
  • Enquiry text
  • Company name of the user
  • Billing address of the user's company

The following data is also stored at the time of registration:

  • The user's IP address
  • Date and time of registration

During the registration process, the user's consent to the processing of this data is obtained.

Art. 6 (1) (b) GDPR (performance of a contract or implementation of pre-contractual measures), e.g., when registering for a conference or training course.

Art. 6 (1) (a) GDPR (consent), if you voluntarily provide additional data.

Transfer and recipients of personal data

The data will not be passed on to third parties.

Storage period

The data will be stored for as long as your user account is active. After termination of registration or revocation of your consent, the data will be deleted, provided that there are no legal or contractual retention periods.

Objection/Removal

As a user, you can cancel your registration at any time. You can have the data stored about you changed at any time.

This can be done informally by sending an email to datenschutz@hood-group.com. We will comply with your request unless contractual or legal obligations prevent us from doing so.

 

VII. Contact form

Scope and purpose

If you send us inquiries via the contact form, the data entered in the input mask will be transmitted to us and stored. This usually includes:

  • Name
  • Email address
  • Subject
  • Message

The data will be processed exclusively for the purpose of handling your inquiry and in case of follow-up questions.

Alternatively, you can contact us via the email address provided. In this case, the user's personal data transmitted with the email will be stored.

Legal basis

Art. 6 para. 1 lit. b GDPR (performance of a contract or pre-contractual measures), if your request is aimed at concluding a contract.

Art. 6 para. 1 lit. f GDPR (legitimate interest), if it concerns general inquiries.

Transfer and recipients of personal data

The data will not be passed on to third parties unless this is necessary to process your request or we are legally obliged to do so.

 

Storage period

Your data will be deleted as soon as the request has been fully processed and there are no legal retention periods that prevent this.

Objection/Removal

You may object to the processing of your data at any time. To do so, simply send us an informal email. In this case, all personal data stored in the course of contacting us will be deleted. In such a case, the conversation cannot be continued.

 

VIII. Audio, photo, and video recordings during events

Scope and purpose

As part of our conferences, we make audio, photo, and video recordings for documentation and publicity purposes. The recordings are used in particular to create summary and impression videos, for posts on our website, social media channels, newsletters, and other communication measures.

In addition, selected photos and videos may be made available to participants for download after the event. These are provided for the personal use of the participants (e.g., as a souvenir or to show their participation in the event).

In addition, selected photos and videos of the event may be passed on to sponsors so that they can use the content for their own marketing and communication purposes (e.g., website, social media, event reviews). The photos and videos will only be passed on in connection with the presentation of the event and the sponsors' participation.

 

The following personal data in particular may be processed in connection with the recordings:

  • Image and sound recordings of participants
  • Names and portrayals of interviewees (if communicated publicly)
  • Situational context information (location, behavior during the event)

The processing is carried out exclusively for the purpose of documenting the event, for public relations work, and for presenting our company, the conference, and the participating sponsors. The published content may be publicly accessible via our website, social media, and newsletters.

The recordings will only be made available for download to the participants themselves. They will not be passed on to third parties, with the exception of the described transfer to sponsors and service providers commissioned by us.

Legal basis

Processing is based on your consent in accordance with Art. 6 (1) (a) GDPR, which you give when registering or purchasing tickets. Consent includes in particular:

  • the creation and publication of audio, photo, and video recordings,
  • the provision of selected recordings for download by participants,
  • the transfer of selected recordings to sponsors for use in their marketing and communication purposes.

Without giving consent, it is not possible to participate in the event or purchase a ticket.

Transfer and recipients of personal data

We use external service providers in the field of photo and video production to create and edit the recordings. These providers work on our behalf as processors in accordance with Art. 28 GDPR.

In addition, selected photos and videos may be sent to sponsors of the event. The sponsors process the recordings as independent controllers within the meaning of the GDPR for their respective marketing and communication purposes.

No transfer to other recipients takes place.

The recordings will be published worldwide via:

  • our website (e.g., https://www.hood-group.com/en/reconf)
  • our social media channels (e.g., LinkedIn, YouTube)
  • newsletters and other corporate communications
  • the sponsors' communication channels

The content may be accessible worldwide.

Storage period

The recordings will be stored for as long as they are required for the purposes stated. They will be deleted at the latest when the content is no longer required for documentation, public relations, provision to participants, or marketing purposes for the event and its sponsors.

Objection/Removal

You may revoke your consent at any time with future effect. Revocation is possible via the contact channels specified in the privacy policy.

Please note:

  • Revocation cannot retroactively remove content that has already been published, insofar as it has already been disseminated or shared.
  • However, we will ensure that you are no longer included in future publications from the time of revocation.
  • If you are identifiable in published photos or videos and wish to have them removed, we will examine the technical possibility of deletion or anonymization on a case-by-case basis.
  • Complete removal cannot be guaranteed in all cases for content that has already been published by sponsors; however, we will provide reasonable assistance in contacting them.


IX. Use of Google services

We use various services provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (“Google”) on our website to analyze the use of our website, display targeted advertising, and ensure the security of our online forms.

This may involve the transfer of data to servers of Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA. The data transfer is based on the EU Standard Contractual Clauses (Art. 46 (2) (c) GDPR) and additional technical safeguards

(e.g., IP anonymization and transport encryption).

Google Analytics

Scope and purpose

We use Google Analytics for statistical analysis and optimization of our website. Google uses cookies to collect information about your usage behavior (e.g., pages visited, length of stay, devices used, truncated IP address).

IP anonymization is enabled, so your IP address is only processed in truncated form.

Your consent pursuant to Art. 6 (1) (a) GDPR in conjunction with § 25 (1) TTDSG; for purely technical measurements, Art. 6 (1) (f) GDPR.

Google Ads & Conversion Tracking

Scope and purpose

We use Google Ads to advertise our offers via search engines or partner sites and to measure the success of this advertising. When you click on an ad, a cookie is set that expires automatically after 30 days.

Scope and purpose

Scope and purpose

We use Google reCAPTCHA to protect our forms from automated access (bots). User input (e.g., mouse movements, IP address) is evaluated for this purpose.

X. Integration of Facebook and YouTube content

On our website, we use services and content from the Facebook and YouTube platforms to expand our range of information and provide multimedia content. When you click on the corresponding links or play embedded videos, personal data may be transmitted to the respective service providers.

It cannot be ruled out that this may involve transmission to servers in the USA. For international data transfers, the providers use EU standard contractual clauses (Art. 46 (2) (c) GDPR) and additional technical protective measures.

Facebook

Scope and purpose

We link to content and pages from the social network Facebook on our website. When you click on such a link, Meta processes personal data such as:

  • IP address
  • Device and browser information
  • Date and time of access
  • Assignment to Facebook user account, if applicable

Meta uses this data for analysis purposes, to provide personalized content, and to improve its own services, among other things.

For the transfer of technically necessary data: Art. 6 (1) (f) GDPR (legitimate interest in user-friendly provision of external content).

For further data processing by cookies/tracking by the respective third-party provider: your consent pursuant to Art. 6 (1) (a) GDPR, provided that this is obtained via the cookie banner or through active use (e.g., clicking/playing).

Scope and purpose

We embed videos from the YouTube platform on our website. When you visit a page with an embedded video or play the video itself, personal data is transmitted to Google, including:

  • IP address
  • Technical device information
  • Date and time of access
  • Usage and interaction data during playback

We use the extended data protection mode as far as technically possible. Nevertheless, YouTube may process data and link it to other Google services if necessary.

XI. Rights of the data subject

With regard to your personal data, you have the right (see Art. 15 ff GDPR):

  • to revoke your consent at any time or to object to the processing of your data. Please note that the revocation only applies to the future. Processing that took place before the revocation is not affected.
  • to obtain information about your data stored by us.
  • to have incorrect data about you corrected by us.
  • to have data about you that is no longer required deleted by us.
  • to have the processing of your data restricted under certain conditions, e.g. if deletion is not possible but the data may not be further processed.
  • Have your data transferred. This right applies in particular if you have given your consent to the processing of your data or if the processing of the data is necessary to fulfill a contract.
